3 ways to use telematics to make your payroll calculations easier

1. Digital tachographs - working hours

Most transport and logistics companies in Europe use digital tachographs on a daily basis. This is mainly due to EU laws on driving times and rest periods and a very strict penalty policy for those who do not comply. Digital tachographs are therefore made standard to accurately record data on times, dates and travel periods for each journey, all of which can be useful when calculating wages.

With DDD archive report you can download all files at once or download files related to a longer period of time. Companies rarely use it for day-to-day operations, but it is very useful if you need to provide data to authorities in case of a company audit.

2. Digital tachographs and GPS data - payment of minimum wage

A recent report by the European Commission shows a 179% pay gap between Western and Eastern European truck drivers. This explains why some western countries, such as Norway and Denmark, have set minimum wage limits for foreign truck drivers working in their countries.

Both digital tachograph data and travel data recorded by telematics devices are generally considered very reliable by authorities in Europe. And this applies not only to occasional checks by the national road police, but also to local tax authorities. Since the above rules on minimum wage limits are strictly enforced, it can be very useful if you can provide accurate data on how long your driver has spent in a country, and info on the wage rate applied and successive payouts.  

The company VILKS SIA (formerly Multilog SIA) experienced the enforcement of these rules first hand. Because they regularly traveled to Germany, local authorities began asking for proof of locally set minimum wage payments for their drivers.

By combining the recorded vehicle trip data with the individual tachograph data of a driver's working hours on Tachogram, VILKS SIA was able to provide accurate data to the German authorities, demonstrating compliance with local rules.

3. Vehicle Trip Report

For companies outside the transportation industry that do not have to use a digital tachograph, there are other telematics solutions that can help calculate wages.

Through GPS tracking, it is possible to determine the distance each vehicle has traveled. If your team uses distance rather than working hours as the basis for payroll calculations, there is a report available that summarizes which employee traveled a certain distance with a specific vehicle. So this may be just what you need then!
