1 | What are the consequences if my attendance records do not comply with the law?

Both contractors and subcontractors are required to adhere to the Checkin@work regulations, and the fines for non-compliance are not small: they start at €600, but can quickly rise to €6,000. And that is only for establishing the breach. The administrative fine can cost you between €300 and €3,000 extra. Moreover, they will impose even higher fines if regular violations are registered. The employee himself can also be fined between € 60 and € 600 if he does not register correctly.

2 | How do I make sure, as an entrepreneur or subcontractor, that I am always in order with Checkin@work?

On a building site, you can manually register every person who reports to you and then enter them in the NSSO's online tool. This does mean that staff are deployed, it requires extra administrative work and mistakes can be made.  

Fortunately, there are smart digital solutions for companies that want to organise their registration as efficiently and correctly as possible and be confident that they will not be a target for fines.

Depending on your activity (main or subcontractor), or your own preference, there are these possibilities:

1.A Checkin@work time clock on the work site (whether or not connected to a swing gate) where anyone who wants access to the site can register. You choose how a worker/visitor can sign in: RFID badge, Dallas key, Construbadge, company badge, QR code, identity card, TobeLisa badge. So both the employees of the main contractor and all subcontractors and their staff register with Checkin@work.

2.A BlackBox in the company vehicles with driver identification via Dallas key. This solution offers you even more advantages, including calculation of mobility kilometres and hours worked, but also whether your company cars are not used illegally at the weekend.

3.The mobile Checkin@work app on your own smartphone, using your national register number or your LIMOSA number. This is the perfect solution for self-employed people or SMEs who want to register in a simple and fast way.

The right choice depends on your specific situation. The time clock is interesting for larger yards with few entrances. Checkin@work via the fleet is meant for companies that already have a track & trace system with All-Connects, or that are looking for ways to further improve their operation with, for instance, time registration, fleet optimisation and material management in addition to the Checkin@work. Finally, there is the Checkin@work app: a very user-friendly and fast way for e.g. architects, self-employed workers in the construction sector, temporary employment agencies, interns, ... Via the app on the smartphone you can register yourself or a colleague without smartphone and you do not have to do anything in advance.

3 | How should subcontracted workers or workers from abroad report?

Thanks to our mobile Checkin@work app, available for free in Google Play and the App Store, you can request a login and get started with your registrations quickly. The default language is English, but the user can easily switch to Dutch or French. People employed by a Belgian company identify themselves in their profile with their Belgian national number; all others use their LIMOSA document. Once correctly registered in the app, you can use the app to scan the worksite QR code and you will automatically be registered with Checkin@work.

4 | Is the combination of different login options possible or is this not a good idea?

It can indeed be very useful to combine the time clock with the mobile app. The time clock is in any case the most complete solution allowing anyone to sign in quickly and easily. The app can then be used by people without a badge reader (such as third parties), or by people who want to enter the construction site via an entrance where there is no time clock. This way, they don't have to search for the right entrance, which might be on the other side of a huge construction site.

5 | What happens if the Checkin@work registration fails?

  • Failed registration time clock: if the ID was not scanned correctly or is not recognised by Checkin@work, the user will see a red light and is not allowed to enter the site. In a turnstile set-up, the gate will remain closed. The user must then report to the site manager.
  • Failed registration in the vehicle: An LED light installed in the vehicle can show whether the registration was successful or not.
  • Failed registration mobile app: When you confirm your registration on the app, you will see whether your registration was successful or not.

6 | As a general contractor, do I always need a management software for attendance recording, even if I only work with the mobile app?
